You’ll find outlined below more information about how when and why we collect your personal data, how we use it and details of any circumstances in which we may disclose it to others.

  • We will only make public or distribute your personal data, where the aim is promotion and full consent is gained.

What is the purpose of collecting and processing the data?

The data we collect from you is important to enable us to update and inform you of our events and activities.

The data helps us to understand our user base, improve customer service and report to our funders about the geographic profile of our audiences.  It also allows us to send you information regarding website or Great Northern Events policy changes, such as modifications to our Terms & Conditions.

We have the following electronic mailing lists: 

  • Audience. We will send you information about the events and activities of Great Northern Events via e-newsletters.
  • Makers. We will send you a ‘Call for Entry’ for all our events early in the year and a reminder a week before applications close. We may also send you an email prior to each event.
  • Exhibitors. We will send you logistical information about the events you’re taking part in.
  • Organisations. (This includes arts organisations, press, colleges and universities) We will send you information about the ‘Call for Entry’ and information about upcoming events, including invitations.
  • Volunteers. We will send you information about your role as a volunteer.

If you have requested to receive our information electronically:

We ask you to provide us with your name, your email address and the first four digits of your postcode (or country if outside the UK).


If you are exhibiting at one of the events we hold the following information:

  • Your full name
  • Your address
  • Your email address
  • Your telephone number
  • Your website
  • Your social media handles

We use this information to contact you regarding show logistics and promotion.

We publish the following exhibitor information on the Great Northern Events website and in the show catalogue, given free to all visitors:

  • Your business name
  • Your email address
  • Your website

We use this information to promote you to the Great Northern Events audience.


We hold the following information:

  • Your organisation name
  • Your email address
  • Your postal address

We are aiming to send all preview invitations out by email by 2019, however the current mailing list for preview invitations includes name and full postal address, Invitations will be sent out via post for the 2018 events and recipients will need to opt-in to receive invitations by email for future events.

Recording of financial transactions

We use your address as part of the payment process for applications by makers and tickets for audiences. We don’t have access to payment card details because these go through a secure third party on-line payment processing service.

What are the outcomes of data processing?

You only receive Great Northern Events electronic communications if you have subscribed to the mailing list or, in the case of organisations and potential exhibitors, we have felt there was a legitimate interest in you being sent the email.

How we protect your information

We adopt appropriate data collection, storage and processing practices and security measures to protect against unauthorised access, alteration or disclosure of your data. Access to data is password protected and limited to the two Directors of Great Northern Events with the exception of limited contact details of exhibitors taking part in the events of which promotion is a key aim.

How can I change, unsubscribe or delete my information?

You can opt-out from our communications by clicking on the clear and prominent ‘unsubscribe’ link on any electronic communication you receive from us. Alternatively please use the contact details within this document. 

Your data will be deleted permanently within one week of our receiving your request.  You are welcome to sign up again at a later date if you choose.


How can I exercise my rights?

It is your right to contact any data controller (such as Great Northern Events) to request information about how and why your data is being used.
